A practical checklist for equipping remote employees in Italy: hardware, furniture, connectivity, security, delivery and returns.
Equipment and Home Office Setup for Italian Remote Employees

You hired someone in Italy who will work from home. Now they need a working desk, a reliable laptop and a clear policy. This is a practical list of what to prepare, and what to decide before the first day.

Start with who owns what

Decide early whether the company supplies the equipment or the employee uses their own. For most foreign employers, company-owned equipment is the cleaner choice. It keeps data on devices you control. It also avoids disputes about wear, repairs and returns.

Write the rule down. Put it in the remote work policy and the employment paperwork. Your employer of record (EOR) can help you align the policy with the employment contract and local practice.

Core hardware

Give the employee what they need to do the job without workarounds.

  • Laptop. Pick a model that fits the role. Developers and designers need more power than support staff.
  • External monitor. A second screen reduces strain and speeds up daily work.
  • Keyboard and mouse. Standard laptop keyboards are poor for full days of typing.
  • Headset with microphone. Calls with a distributed team depend on clear audio.
  • Webcam. Many laptop cameras are weak. A separate one helps in client meetings.
  • Laptop stand or monitor arm. Screens should sit at eye level.

Buy an Italian-layout keyboard if the employee prefers it. Ask before you ship. Typing on the wrong layout is a small thing that annoys people every day.

Furniture

The home workstation should be safe and comfortable. At minimum:

  • A proper desk or table with enough depth for a monitor.
  • An ergonomic chair with adjustable height and back support.
  • Good lighting, ideally a desk lamp in addition to natural light.
  • A footrest, if the employee asks for one.

Many employers offer a one-time setup budget instead of buying furniture directly. This is simpler to run. It also lets the employee choose items that fit their space. Set clear limits on what the budget covers and ask for receipts.

Connectivity

A remote role is only as good as the connection behind it. Check these points before the start date.

  • Confirm the employee has a stable home broadband line.
  • Agree who pays for internet and phone use, and how. Some companies pay a fixed monthly contribution. Others reimburse a share of the bill.
  • Consider a mobile hotspot as a backup for outages.
  • Ask the employee to use a wired connection for important calls where possible.

Connection quality varies by area in Italy. Cities usually have good options. Smaller towns and rural areas can be slower. Ask early, not after the first dropped call.

Security setup

Company devices need protection from day one.

  • Enable full-disk encryption on every laptop.
  • Use a device management tool so you can lock or wipe a lost machine.
  • Require multi-factor authentication on all company accounts.
  • Provide a password manager.
  • Use a VPN or zero-trust access for internal systems.
  • Tell employees not to share work devices with family members.

Personal data of Italian staff and customers falls under European data protection rules. Keep monitoring light and transparent. Do not install tools that track employees in ways they have not been told about. Check your plans with your EOR before rollout.

Health and safety

The employer stays responsible for the safety of the work it asks people to do, including at home. In practice this means giving guidance on a safe workstation, and keeping a record that you did so. Ask your EOR what is expected for remote employees in Italy and how to document it.

Delivery and customs

If you ship from outside the EU, plan for customs. Delays are common. Ship early and track the parcel. Use a courier that handles import paperwork. Another option is to buy the equipment locally in Italy and have it delivered directly to the employee. This avoids duties and speeds up the start.

Buying locally also makes warranty claims and repairs easier.

Day-one checklist

Send this list to the manager before the employee starts.

  1. Laptop is configured, encrypted and enrolled in device management.
  2. Accounts and access are ready.
  3. Peripherals have arrived and are tested.
  4. Internet allowance is agreed in writing.
  5. Safety guidance has been sent.
  6. A contact person is named for equipment problems.

Repairs, upgrades and returns

Equipment breaks. Plan for it. Name one person who handles replacements. Set a target time for fixing issues. Keep a spare loaner laptop if the team is large enough.

When employment ends, the employee must return company property. Arrange prepaid return shipping and give a clear deadline. Keep an inventory with serial numbers so you know what is out there.

Keep it simple

A good setup is not expensive or complicated. Give people a decent laptop, a screen, a chair and a stable connection. Write the rules down. Keep records. Then let them work.
